Privacy Policy

In short

• We hold your account details and the roster read from the slip you upload.
• We use them only to run the app for you. No ads, no selling, no marketing.
• You decide what your Squads and the people with your link can see.
• You can delete your account and all of its data yourself, at any time.

Who we are

CrewSchedule is an independent project run by an individual based in Thailand, who is responsible for your data. Contact: [email protected]

What we hold

• Your account: email, name, crew position, base airport, time zone and your settings. Your password is stored only in scrambled form that we cannot read.
• Your roster: the flights, layovers and other duties read from your slip or typed in by you, and the name of the file you uploaded.
• Your Squads, and a note of when you accepted the Terms of Use.

The file itself is not kept. We read the slip, keep the schedule, and discard the file. We do not keep the staff number printed on it.

We also see your IP address briefly, to limit repeated sign-in attempts, and we count page visits in total, without cookies and without identifying you.

How we use it

Only to run the Service: to keep your account, build your calendar, show your schedule to the people you choose, send sign-up and password emails, and keep the Service secure. We do this because it is needed to provide the Service you asked for, and to keep it safe and working. We don't use your data for advertising or marketing, and we don't sell it.

Who can see it

People you choose. Squad members see your schedule at the privacy level you pick. Your Share link is off until you turn it on; while it is on, anyone who has it can see your schedule at that level. Anyone who has your calendar feed address can read your full schedule, so keep it private; you can replace it at any time.

Two service providers. Cloudflare carries the traffic to our server and stores our backups, and Postmark sends our account emails. Both may handle data in the United States and other countries, and both commit to protecting it.

Nobody else, unless the law requires it.

Cookies

We use one cookie: a session cookie that keeps you signed in and protects the forms you submit. It is removed when you close your browser. There are no advertising or tracking cookies.

How long we keep it

We keep your data until you delete it or your account. When you delete your account, your data is removed from the live system straight away, and your schedule disappears from your Squads.

• Each backup is kept for up to 30 days, then deleted. We don't use backups to bring back a deleted account.
• The copy of a slip kept for your review is erased when you confirm or discard the import, or after 7 days if you do neither.
• IP addresses used to limit sign-in attempts are deleted within about a day.

Keeping it safe

Connections are encrypted, passwords are never stored in readable form, and sharing addresses are hard to guess and can be replaced. No system is perfectly secure; if an incident puts your data at risk, we will tell you.

Your choices

You can delete your account and all of its data yourself, from Menu, Account. For anything else, including a copy of your data or a correction, email [email protected] from the address on your account and we will answer within 30 days.

Age and changes

CrewSchedule is for people aged 18 or over. If this policy changes in a way that matters, we will tell you by email or in the app.
